Prompt templates you can version like notes

Goal: Turn a working GFB or mail template into a versioned card—one-line changelogs; archive before delete.

Best for: Anyone who retypes the same weekly status, email reply, or research ask.

Your best prompt is useless if it lives only in last Tuesday’s thread. Treat prompts like short notes: name them, version them, archive old ones. You do not need a fancy prompt ops platform—a notes app or a prompts/ folder is enough.

Why beginners skip this

Editing a prompt template with no version feels light—reuse will hit the old trap. Version number + one-line changelog.

Step 1 — Card format (copy this)

Copy the card format, put a version in the filename, then run a prompt you actually reuse.

Name: status-bullets-v3
Updated: 2026-10-18
Use when: weekly status to manager
Tools: ChatGPT / Claude / Grok (any)
Template:
Goal: …
Format: …
Boundaries: …
Changelog: v3 shortened format line; banned “Absolutely!”

Keep the empty template and one filled example underneath it. Future-you will thank you.

Step 2 — Promote a chat win into v2

Example

Filled prompt

Name: email-reply-v2
Updated: 2026-10-18
Use when: customer waited >48h
Template:
Goal: Keep the relationship; one clear next step.
Format: 120–150 words, 3 short paragraphs.
Boundaries: No blame; do not invent compensation amounts; no “Absolutely!” opener.
Changelog: v2 moved cheerleader bans into Boundaries; added wait-time context field.

What good output looks like

  • Version sits in the filename/title
  • Changelog is one honest line
  • v1 still archived for a week before delete
  • You paste the template, not a vague memory

Step 3 — Tiny library hygiene

  • Cap active cards at ~15. If unused for 30 days, archive.
  • One job per card. Do not merge “email + landing + PR” into one mega-prompt.
  • When a model update breaks a habit, bump the version and note what changed.
Review my prompt card. Suggest one tighter Boundaries line and a clearer Use when. Do not rewrite the whole template unless a line conflicts.

Example

Filled prompt

Live task this week (not a toy): apply this guide's Goal — Keep a tiny prompt library with names, dates, and one-line changelogs—so improvements survive chat h
Fill with your real artifact names/files. Constraints: no invented facts; label Unknowns; stop before send/delete/pay.
Return the working prompt + one pass/fail check I can mark in a minute.

What good output looks like

  • Goal/Format/Boundaries all present for “Prompt templates you can version like”
  • One example beats stacked IMPORTANT words
  • Version/date kept when template changes
  • Pass/fail: zero clarifying turns on live task

Keep it real

Run this guide’s Practice now on work you will actually ship this week—not a fictional scenario. Dated notes beat perfect theory.

Do not bookmark-only

Finish Practice now, then tick this guide on your path. Titles unread are not skills.

Reality check

Open this guide beside a live task. If you cannot name the task, pick one before reading further.

Close the loop

Write one line: next time I overwrite a template with no version, I refuse.

Example

Filled prompt

Weekly status prompt → save v3 dated.
Add: no new metrics. A/B v2 vs v3 on same bullets; keep winner.
Context: real workstream this week (Asia/Shanghai). Name actual files/people.
Constraints: no invented metrics/owners/prices; label Unknowns; stop before send/delete/pay.
Done check: I can mark pass/fail in one minute on the output.

What good output looks like

  • One example beats stacked IMPORTANT words
  • Version/date kept when template changes
  • Pass/fail: zero clarifying turns on live task
  • Goal/Format/Boundaries all present for “Prompt templates you can version like”

Red flag

Reused prompts with no version/date; permanent boundary changed silently—bump and note.

Save this card

Card: Version and date reused prompts—bump when a permanent boundary changes. Keep this beside the tool; read before you start.

Before you start

Keep the last failing output visible. You will repair the prompt for “Keep a tiny prompt library with names, dates,” against that failure—not a fresh toy ask. Guide: prompt-templates-you-can-version. Keep the real job visible the whole time; a blank box means stop and fetch the artifact first.

How to use this week

This week add a version number and one-line changelog to a real template; copy the old version before changing fields.

Pitfalls

PitfallFix
Saving only in chat memory / custom instructionsExternal note with version in the name
Endless “final-final-v7-REAL” namesname-vN + changelog line
Editing the live card mid-taskDuplicate → edit → rename to next version
Never deletingArchive folder; keep library skimmable

Example

Filled prompt

Temptation: skip the habit for prompt-templates-you-can-version to save five minutes.
Job still: Keep a tiny prompt library with names,
Smallest correct pass: Done visible · checkable artifact · Unknowns [?].
Boundaries: draft only; no silent send; no invented metrics.
Return: artifact + refuse-line said aloud.

What good output looks like

  • Names the shortcut refused (specific to prompt-templates-you-can-version)
  • Still delivers checkable output for “Keep a tiny prompt library with names,”
  • Unknowns labeled; draft-only
  • Pass/fail: refuse-line dated (prompt-templates-you-can-version #4)

Practice now

Deprecate note: old version marked deprecated with date (Asia/Shanghai).

Owner field: template header includes owner initials (Asia/Shanghai).

Semver reason: one sentence why this bump is minor not major (Asia/Shanghai).

Test harness: one canned input proves the new version (Asia/Shanghai).

Pin old: keep vN-1 read-only in the folder (Asia/Shanghai).

Caller note: changelog names who must re-test (Asia/Shanghai).

Diff-template drill: diff vN vs vN-1 in three bullets before trusting the new template (Asia/Shanghai).

Version drill: vN bump + changelog line; archive prior file (Asia/Shanghai).

Template-version drill: bump vN; one-line changelog; keep prior version file untouched (Asia/Shanghai).

Thin-spot drill: rewrite the Save card with real nouns from your work (repo, doc, inbox). Generic placeholders fail the drill.

Tonight add a version number and one-line changelog to a real template; copy the old version before changing fields.

Buffer line: name the artifact path you used (Asia/Shanghai).

One sentence takeaway

Version number + one-line changelog; copy the old version before changing fields.
